ESSENTIAL JOB FUNCTIONS
 
  • Perform clerical tasks requiring complex work methods and procedures.
  • Dispatch public transportation services in compliance with laws, regulations, and company policies.
  • Maintain, classify, and organize records, including manual and electronic files.
  • Process and issue receipts for payments related to tickets, certificates, and services.
  • Receive and analyze information from the public for form completion and service documentation.
  • Ensure up-to-date route sheets and driver listings for scheduled routes.
  • Prepare reports and service orders as required.
  • Assist in scheduling and coordinating maintenance and repairs for vehicles and equipment.
  • Dispatch employees to designated locations and communicate updates using two-way radio or issued cell phones.
  • Provide information on extreme road conditions and construction sites to drivers.
  • Assist in the planning and preparation of bus routes.
  • Answer multi-line phone systems and serve as a backup for reception duties.
  • Operate office equipment including computers, copiers, scanners, and fax machines.
  • Maintain office supply inventory and place orders as needed.
  • Schedule appointments and maintain accurate records for compliance with state or company policies.
  • Utilize proprietary routing/scheduling software for dispatching and data entry.
  • Ensure proper customer service standards in all interactions.
JOB REQUIREMENTS
 
  • High school diploma or equivalent.
  • Minimum of one year of clerical experience (business school coursework or supervisory experience may be considered).
  • Valid Class C Texas driver’s license with a satisfactory driving record.
  • Proficiency in Microsoft Office (Word, Outlook, Excel).
  • Ability to type at least 35 words per minute accurately.
  • Strong verbal and written communication skills in English.
  • Ability to read maps, interpret data, and operate proprietary routing/scheduling software.
  • Knowledge of general office procedures, record-keeping, and filing systems.
  • Excellent interpersonal skills with tact, patience, and courtesy.
  • Bilingual in Spanish is preferred.
